📦 Shipping & Delivery Policy

At the Asian Education Olympiad, we are committed to ensuring a seamless, transparent, and legally compliant delivery process for all our participants, partners, exhibitors, and awardees. This policy explains how we deliver services and products in both digital and physical form, in alignment with E-Governance norms, IT Act 2000, and global best practices.

🔹 1. Scope of Delivery

We provide two types of deliveries depending on the nature of participation:

1.1 Digital Delivery (Primary Mode)

Event registration confirmations

Delegate passes & entry badges

Nominations & award confirmations

Invoices, payment receipts & certificates (soft copy)

Reports, knowledge-sharing documents, and presentations (where applicable)

1.2 Physical Delivery (Supplementary Mode)

Certificates of recognition (hard copy)

Trophies, medals, or souvenirs

Delegate kits, brochures, or exclusive publications

Merchandise (if purchased separately)

👉 Delivered via verified courier partners (domestic & international).

🔹 2. Processing Timelines

We strive to maintain transparency and predictability in delivery schedules.

Digital Deliveries: Within 48-72 business hours of payment/confirmation.

Event Documents (Passes, Kits, Reports): Shared 7–10 days before event date.

Domestic Physical Deliveries (India): Dispatched within 5–7 business days after event completion or confirmation.

International Physical Deliveries: Dispatched within 10–15 business days (depending on customs regulations).

⏳ Note: Timelines may vary for bulk shipments, customized orders, or due to external courier delays.

🔹 3. Shipping Charges

Digital Deliveries: Always free of cost.

Domestic Deliveries (India): Applicable courier charges on Mandatory items (certificates, awards, kits). Additional merchandise may attract shipping charges.

International Deliveries: Charges apply as per actual courier rates, shared in advance for approval.

🔹 4. Courier & Tracking

All physical shipments are dispatched via trusted courier partners (DTDC, Bluedart, DHL, FedEx, or equivalent).

Customers will receive a tracking ID upon dispatch.

We are not liable for delays caused by courier service disruptions, customs clearance, or incorrect addresses.

🔹 5. Legal & E-Governance Compliance

All digital confirmations, invoices, and receipts are legally valid under the Information Technology Act, 2000.

Electronic records are archived securely for audit & compliance.

Every digital communication is issued using secure email protocols and time-stamped for authenticity.

Courier tracking logs and proof of delivery are maintained for physical shipments.

🔹 6. Exceptions & Force Majeure

Deliveries may be delayed due to:

Incorrect or incomplete delivery details provided by the customer.

Courier service disruptions, natural calamities, strikes, or governmental restrictions.

Customs delays in international shipments.

In such cases, our team will proactively update participants and provide revised timelines.

🔹 7. Customer Responsibility

Ensure accurate email ID and postal address are provided at registration/checkout.

Check spam/junk folders for digital deliveries.

Notify us immediately if an item has not been received within the expected timeframe.

🔹 9. Legal Validity Statement

By registering, nominating, or placing an order, you agree and acknowledge that:

Digital confirmations hold the same legal status as physical copies under the IT Act, 2000.

Our responsibility ends once courier partners confirm successful delivery.

Disputes, if any, shall be handled under the jurisdiction of [SAS Nagar, Mohali, Punjab, India] courts.
